Reduce image size for a job application photo upload
Job portals reject headshots when the file exceeds a KB/MB cap, uses the wrong format, or misses a stated pixel size. Export a clean JPG, resize to the required dimensions, then compress under the listed limit while keeping the face sharp.
What HR / ATS uploaders usually enforce
| Rule | Typical values |
|---|---|
| Format | JPG; sometimes PNG |
| File size | 100 KB, 200 KB, 500 KB, or 1–2 MB |
| Dimensions | Exact pixels, max width, or “passport-like” crop |
| Content | Neutral background, face visible, no filters |
Failing any one rule can look like a generic “upload failed.”
A headshot workflow that survives re-uploads
- Start from the highest-quality original (not a WhatsApp forward).
- Convert HEIC → JPG if you shot on iPhone.
- Crop for a professional framing (head and shoulders), then resize to the portal’s pixel rule.
- Compress until under the KB cap; stop as soon as you clear it.
- Name the file simply (
lastname-photo.jpg) if the portal is picky about characters.
Quality vs size
For faces, resize before crushing quality. A 4000 px portrait squeezed to 10% quality looks worse than an 900–1200 px longest-side JPG at moderate quality under the same KB budget.

FAQ
Do all job sites need a photo?
No. Many US/EU employers skip photos. When a portal requires one, treat the KB and format rules as hard requirements, not suggestions.
Is LinkedIn export good enough?
Sometimes. Re-check file size and dimensions after download — social crops rarely match a portal’s exact pixel rules.
Should I use PNG for sharper edges?
Only if the portal allows PNG. Many ATS uploaders whitelist JPG only and reject PNG even when quality looks better.
